What are event organisers entitled to when using ICC Sydney logistics services?

The use of ICC Sydney Event Logistics services entitles event organisers to:

  • Move-in and move-out support
  • Organiser deliveries – accepted two (2) business days in advance of event ( not including weekends)
  • Complimentary management of up to two (2) pallets of organiser goods (each pallet is 1.2mL x 1.2mW x 1.6mH).
  • Complimentary management of delivery schedules using ICC Sydney’s Loading Dock Management System (LDMS).

What is ICC Sydney Event Logistics and what do they do?

ICC Sydney’s Event Logistics team is responsible for the porterage of organiser materials within the Convention Centre.

ICC Sydney Event Logistics offer the following services in the Convention Centre building:

  • porterage service within the Convention Centre
  • forklifting services
  • forklift hire
  • ICC Sydney’s own Loading Dock Management System (LDMS) for vehicle scheduling.

In the interest of safety, security and care for the building, ICC Sydney porterage services are exclusive to the venue.

What are the ICC Sydney Standard Dock hours of operation?

Standard hours of operations are Monday – Friday, 0700-1600. Any work required outside these hours are by prior arrangement only. Surcharges may apply.

What is the size of a standard pallet?

A standard pallet size is considered to be 1.2mL x 1.2mW x 1.6mH / 500 kg.

As an indicator, one (1) pallet can accommodate approximately 16–20 boxes (box dimension: 50cm x 50cm x 40cm).

For organisers in the Convention Centre, complimentary porterage services for two (2) standard pallet of goods is offered.

Who at ICC Sydney can we direct our enquiries to?

All Convention Centre delivery enquiries are to be directed to your Event Manager.

What are the Porterage rates?

Porterage rates are $51.00 inclusive of GST per hour, minimum 4 hours, Monday – Friday. For rates outside these hours, please refer to your Event Manager for a tailored quote.

Can an organiser use the services of a freight and logistics forwarder?

Yes, organisers are encouraged to use a Freight Forwarder for delivery to the Convention Centre Loading Dock. Beyond the dock, ICC Sydney Event Logistics team work with the major Freight Forwarders to transfer items to and/or from the contracted space.

Porterage charges will apply where a Freight Forwarder is not appointed. For this service, please complete the Quote Request Form.

What options are there for the delivery and collection of items?

All materials must be organised for delivery 72 hours in advance of required services.

Event Organiser:
If you are organising your own deliveries/pickups, or if organising, assisting or informing your exhibitors and contractors, proceed with one of the below options:

  • Freight Forwarder: appoint a freight forwarder to manage scheduling and delivery to ICC Sydney Convention Centre loading dock. ICC Sydney has worked with the following freight forwarding companies:
  • Self-delivery with a car or van must be booked in ICC Sydney’s Loading Dock Management System (LDMS). Guests can access the loading dock for a maximum of 15 minutes to drop off their goods. At the Convention Centre loading dock, transfer of goods from the dock to the specified event space is then handled by ICC Sydney. Costs for this porterage service are applicable.
  • Car Park: small items can be hand-carried, please park in P1 (accessed via Darling Drive) and proceed to the event space. Please note, large trolleys and freight are not permitted in guest lifts; for delivery of large or bulky freight, please refer to the self-delivery option and proceed to the Convention Loading dock.
  • Courier: arrange items through your chosen courier and book delivery through ICC Sydney’s LDMS.

Event Exhibitor:
If you are an exhibitor organising the delivery and/or pickup of materials to and from your stand, proceed with one of the below options:

  • Through your Organiser: please reach out to your organiser to understand if a freight forwarder or storeroom has been arranged for the event.
  • Self-delivery and Couriers: to be booked and delivered on the day of your move in and move out, no on-site storage available unless arranged through your organiser. ICC Sydney porterage and/or storage must be pre-arranged (and paid for) through your organiser.
  • Car Park: small items can be hand-carried, please park in P1 (accessed via Darling Drive) and proceed to the event space. Please note, large trolleys and freight are not permitted in guest lifts; for delivery of large or bulky freight, please refer to the self-delivery option and proceed to the Convention Loading dock.

How do I book a delivery?

All deliveries must be booked through ICC Sydney’s Loading Dock Management System (LDMS).

What if I have multiple deliveries?

Multiple deliveries can be accommodated, however, it is recommended to consolidate items where possible for a single delivery. This will minimise the risk of items being misplaced and is likely more cost effective. ICC Sydney porterage services will then be used from the loading dock to the event space and back. What happens if I do not schedule my delivery/courier?

All deliveries within the Convention Centre should be scheduled with porterage and storage paid for. Unscheduled deliveries will not be accepted.

All deliveries/collections within the Convention Centre must be scheduled through the organiser’s appointed Freight Forwarder. If no Freight Forwarder is appointed, then all individual vehicles must be booked via ICC Sydney’s LDMS Booking Form.

What happens with Conventions in the Exhibition Centre?

Any activity within the Exhibition Centre will be treated separately to the Convention Centre. Exhibition events will need to make separate storage and porterage arrangements through ICC Sydney or third-party providers at an additional cost. What happens with Conventions in ICC Sydney Theatre?

Any activity within ICC Sydney Theatre (formerly known as Aware Super Theatre) will be treated separately to the Convention Centre. Theatre events will need to make separate storage and porterage arrangements through ICC Sydney or third-party providers at additional cost. Contact your ICC Sydney Event Manager for more information.

Can suppliers who are servicing production or theming for an event in the Convention Centre deliver those items directly to the room?

Yes, based on the individual requirements and as agreed by ICC Sydney, audio visual production companies, theming companies and florists can deliver event related items directly to the contracted space. These suppliers will be escorted by ICC Sydney to the space.

Suppliers can drop their deliveries to other event contacts and go. If they need to set up, e.g. florists can drop off their items on the loading dock, park their car in the car park then collect their items from the loading dock to take up to the allocated space. Parking in the loading dock is an allocated 15 minutes only.

What is the process for removal of materials post event?

At the conclusion of the event, all materials must be removed from the room by the end of tenancy, with no exceptions. Left over materials which have not been pre organised for storage and / or porterage will be disposed of at the conclusion of tenancy.

It is strongly recommended that event organisers, exhibitors and guests make arrangements in advance with their freight and logistics company for collection of materials, especially if the event moves out after hours or over a weekend. Please select your logistics provider wisely as most couriers do not operate on weekends or after 1700.
